Expo Chair Job Description

The Expo Chair position involves the planning and coordination of our Race Day Expo in Justin Herman Plaza. This position will allow you to gain an incredible amount of experience in the planning and coordination of a large-scale event (roughly 7,000 people move through our Expo!).  Not only will you gain experience in planning a major event, but you’ll get the opportunity to become familiar with the Komen organization and some of its largest supporters, our National and Local Race Sponsors. One more reason to take on this job….its fun!  You’ll meet the other amazing women and men who volunteer to make the Komen SF Race for the Cure a success each year……raising over $1 million in both the 2006 and 2007 Races. Although this job has been handled by a single person in the past, it is highly recommended that the Expo Chair recruits two additional people to form an “Expo Committee” to cut down on the work load. 

Attendance: Monthly Race committee meetings and separate meetings with the Race Manager and Race Director.

Responsibilities: The expo chair has the responsibility of identifying and securing logistics related to Race day and working directly with the Race Director, Race Manager, and Expo Vendors. Responsibilities include:

  • Communicate with and contact each Local Race Sponsor and Affiliate Grantee to distinguish which groups will be present at the Race with an Expo Booth and who (out of those who qualify) will include something within the Survivor goody bag.  Sponsors often have specific requirements regarding space needed, placement, etc.
  • Recruiting members of Expo committee to handle following roles:
    Expo Participation:  Collecting signed Expo forms and Certificates of Insurance from each Local Sponsor and Grantee participating in the Expo.  (The forms indicate Vendor needs such as electricity, number of chairs, etc. The certificate of insurance must name both the Susan G. Komen Breast Cancer Foundation and the San Francisco Affiliate of the Susan G. Komen Breast Cancer Foundation as additional insurees, and must show that the party has insurance liability limits in minimum face amount of one million dollars per occurrence.)
    Inventory:  Ensure all the Survivor goody bag materials are shipped to the storage facility   and NOT to the ffiliate office. Keep inventory list of all materials being sent to Storage Facility (should only include our Race items, and items to be added to Survivor Goody bags….we will not store any items for Expo vendors).  Coordinate move of merchandise, equipment, t-shirts, etc. from the storage facility to the ace site.
  • Communicate to Race Director the placement of all Expo booths, portable toilets, equipment, etc at Expo site on Race day.
  • Confirm with Race Director the ordering of rentals (folding chairs, tables, etc.) for Race day based on input from registration chairs, Expo booth vendors, Safeway food tent coordinators, and Race day awards chair, sponsorship chair, and communications chair.
  • Confirm with Race Director the procurement of a stage or staging area, sound system, and equipment.
  • Work with Race chair and Race director on a crisis management plan.
  • Assist with and oversee registration, food tent, water distribution, awards ceremony, goody bags, and goody bag stuffing for Race.

Marketing/PR Chair Job Description

The Marketing and PR Chair position includes several levels of marketing and PR activities and work. After the Race on September 21, 2008, you will have gained an incredible amount of experience in handling the Marketing and PR of a large-scale fundraising event (raising over $1 Million, with roughly 7,000 people moving through our Expo!).  You’ll also have the opportunity to become a part of the largest series of 5K runs/fitness walks in the world.  The Komen Race for the Cure Series raises significant funds and awareness for the fight against breast cancer, celebrates breast cancer survivorship, and honors those who have lost their battle with the disease.  One more reason to take on this job….its fun!  You’ll meet the other amazing women and men who volunteer to make the Komen SF Race for the Cure a success each year. 

Responsibilities:

The marketing and public relations chair oversees the public relations committee, and oversees the promotion of all Komen Race for the Cure® activities to the media and general public. This person should recruit volunteers to assume the following responsibilities:

  • Develop a public relations plan.
  • Develop a media list for distributing Race information.
  • Write press releases and other media materials for press kits.
  • Write and distribute public service announcements (PSA’s).
  • Serve as Affiliate spokesperson and train/oversee other appropriate spokesperson(s).
  • Develop special interest stories to circulate to the press.
  • Arrange for media coverage for the Race through.
  • Follow up with media.
  • Contact local newspapers and magazines about ooportunities to include our advertisements in their publications.
  • Recruit master of ceremonies to emcee the Race program.
  • Recruit federal, state and local officials as well as local celebrities to attend and promote the Race. Arrange the details of their appearances such as transportation, arrival and departure details; lodging, Race event appearances, providing a script (if necessary); work with Race chair and public relations chair (please see the political policy statement).
  • Evaluate the public relations plan after the Race event.
  • Work with fundraising and sponsorship chair to compile press clippings.
  • Writes thank-you notes at the end of event and prepare a final report.  Ideally, the committee should compile a notebook of suggestions, contacts, timelines, etc., to be handed over to the next year’s committee chair.

The marketing and public relations committee should work closely with the education and outreach committees of the Affiliate. Become familiar with the grant recipient programs of the Affiliate and market these stories to promote the Race!
